MAINLINE ACCESS PTY LTD SITE STANDARDS AND PROCEDURES

1)      DEFINITIONS

  1. In these Site Standards and Procedures:

Client” means the owner, manager or person or entity in charge of the site at which the Goods and/or Services or labour are being supplied.

“Company” means Mainline Access Pty Ltd ACN 146 159 346.

“Contract” means the contract between the Supplier and the Company formed by the Purchaser Order issued by the Company to the Supplier and the Company’s Purchase Orders Terms and Conditions.

Site Supervisor” means the agent of the Supplier or employee who is managing the Site on behalf of the Company.

“Supplier” has the same meaning as in the Company’s Purchase Order Terms and Conditions which are available on the Company’s website.

2)      PROVIDING A SERVICE – GENERAL INFORMATION

  1. Working Hours:

A general working day is considered 7.00 am until 3.30pm (8 hrs plus an unpaid, 30 minute break). This can vary at the discretion of the Company.

  1. Working Week:

Monday – Friday is the normal working week, Saturday and or Sunday work may be available as and when agreed.

  1. Breaks:

You may take a half hour (30min) unpaid lunch break when working more than four (4) consecutive hours on site.

  1. Travel time:

Travel time is not estimated nor included into the time scheduled for the completion of works, nor when traveling between job sites. This time is not remunerated by the Company.

  1. Uniforms:

When available all Suppliers and employees will be supplied with a Mainline Access t-shirt. Whilst working on Mainline Access sites, t-shirts must be worn. If you are unable to wear Mainline Access t- shirts, a plain shirt must be worn (i.e. no t-shirts with company branding are to be worn).

  1. Equipment Safety Check:

All suppliers and employees are required to take part in an equipment safety check at least once a month. This can be done onsite and may be done without prior warning.

  1. Safety

Many clients require up to date Safety Registers upon commencement of work, in which case the check will be done first thing on the first day of work.

Suppliers and employees who have identified any issues, cannot return on site until the safety issue recommendations have been addressed.

3)      EQUIPMENT

  1. Personal Equipment:

All Suppliers are expected to own or have unrestricted availability to the general tools & equipment they require to provide the Goods and/or Services required of them unless previous arrangements have been made to use Company equipment.

  1. Personal Abseil Equipment:

All Suppliers are required to purchase their own basic abseiling equipment and to maintain this in a safe and working order at all times.

  1. Personal Equipment – Damage, Loss & Reimbursement:

General equipment is the sole responsibility of the Supplier and the Company takes no responsibility for any damage or loss incurred whilst providing Goods and/or Services.

  1. Company Equipment:

Any equipment required to undertake a service, above & beyond the general equipment Suppliers are required to have, will be provided by the Company unless other alternative arrangements have been made.

  1. Hired Equipment:

If a Supplier has Hired Equipment that has been hired by the Company in their possession, custody or control then they are liable for any loss suffered by the Company resulting from the hire of the Hired Equipment.

  1. Company or Hired Equipment – Damage & Loss:

Lost or damaged Hired Equipment or Company-owned equipment is the sole responsibility of the Supplier. Repayment for lost or damaged equipment will be sought from the Sub/Contractor.

  1. Return of Company and Hired Equipment:

In the event of the termination or completion of a Contract with a Supplier or employment of an employee all Company and/or Hired equipment is to be returned to the Company immediately.

  1. Additional Equipment:

Any additional equipment required outside of that which has already been allocated must be discussed and approved by the Company PRIOR to the purchase.

  1. Care of Equipment:

Suppliers should take all reasonable care with equipment on and off site.

  1. Off Site:

Equipment should be stored safely in accordance with the manufacturer’s specifications when not in use.

  1. On Site:

Equipment must be kept and stored safely at all times when not in use in accordance with the manufacturer’s specifications when on site and is such a way as to ensure that equipment and tools will not be in damaged, lost or stolen during breaks or at the end of the day.

All Abseil ropes entering the drop area of a work site must be coiled into a bucket to avoid damage and possible safety hazard.

4)      COMMUNICATION ON SITE

  1. Subject to this clause, Suppliers and/or employees must not communicate with the Client, or the Client’s representative/s, unless a Supplier or employee is instructed otherwise by the Company.
  2. Keys:

It is the responsibility of the Site Supervisor to ensure the keys are left with the onsite Client representative. Should the keys mistakenly be taken they must be returned at the Client’s convenience. The Company will not be liable for time spent returning keys that should have been left onsite.

  1. Inform:

The Site Supervisor is to inform the Client and the Company that the job is complete. Further directions may be given to the Site Supervisor at this point.

  1. Sign Off at Completion:

The Site Supervisor must review the job with the Client and explain what has been done.

The Site Supervisor must provide written confirmation to the Company that the walk around is complete and the name of the building site contact

  1. Discuss & Re-do:

If the Client is not satisfied with any or parts of the work:

  1. Explain why the Goods and/or Service was completed at the level it was;
  2. Explain why the completed work looks the way it does; and
  3. Re-do and/or complete any work that has not been completed to the Client’s satisfaction.
  4. Damage to job sites:
  5. During the course of providing Goods and/or Services a Supplier and/or employee must cease work immediately if a site is damaged as a direct or indirect result of the Supplier and/or employee’s actions.
  6. The Supplier/employee must immediately inform the Site Supervisor, who will inform the Company.

iii)     The Site Supervisor will rectify the problem if possible.

  1. The Supplier/employee is liable for any loss incurred by the Company as a result of the damage.
  2. Upon receipt of notification the Company will determine if the Client is to be notified and if an Agreement of Continuation is to be signed by the client, which would indemnify the Company & our workers from any recourse the client may be able to take in the future.

5)      TRAINING

  1. Supplier Training Session:

Suppliers may be required to attend Training Sessions as requested, at the direction and request of the Company.

  1. Onsite Training:

At the request of the Client, Suppliers may be required to attend site inductions and/or onsite training.

6)      SCHEDULING OF WORK

  1. All work will be scheduled with consideration to the Supplier’s availability, but ultimately according to the Client’s requirements.
  2. All reasonable efforts are required from the Supplier to meet the Company’s request regarding scheduling of works. If a Supplier does not meet a Company request regarding scheduling of works within 72 hours the Company may terminate its Contract with the Supplier and recover any loss or damage suffered as a result (including any increased cost to the Company for the supply of the Goods and/or Services the subject of the Contract) as a liquidated debt from the Supplier.
  3. Scheduling Work of Multiple Sections (visits):
  4. Occasionally a job may require a Supplier to attend the job site multiple times with varying time frames in between each visit. This generally only happens on construction sites. The Supplier who takes these jobs on must make themselves available for each visit (section of work).
  5. The tentative dates will be made known at the time of acceptance but will be confirmed within 14 days of each date. Delays on construction sites can have an effect on each of the trades involved and Suppliers must be flexible in this instance.
  6. Payment cannot be made to Suppliers in the event of delayed start dates.
  7. Postponing of works:

If a Client or the Company needs to postpone works, as much notice as possible must be given to the other parties including the Supplier.

  1. Weather Interference:

There are some weather conditions that are considered acceptable to call off work, these are:

  1. electrical storm
  2. heavy or persistent rain

iii)     high wind (approx. 12km per hr) or over.

Suppliers and employees are expected to work in light rain and must own or have access to wet weather gear. Each Supplier and/or employee must contact the Company to report the ceasing of work.

  1. Where work has ceased due to weather interference Suppliers and employees must wait a minimum of two hours before leaving site and must leave only with the Company’s prior approval (see ‘Leaving Site’ below).
  2. Additional Goods and/or Services required:

Any additional Goods and/or Services required outside of that which was allocated by the Company in the Purchase Order or, in the case of employees by instruction from the Company, must be the subject of prior written consent from the Company. The Company is not liable for the supply of Goods and/or Services or labour which is not the subject of the Company’s prior written authorisation.

7)      ANCHOR POINTS AND ABSEILING

  1. When Suppliers or employees install Anchor Points, Anchor Logs must be filled out and returned with the completed form to the Company.
  2. Anchor Plates must be installed at time of anchor installation.
  3. Abseil Drop Area Safety:
  4. Abseilers must ensure that barricades and warning signs are erected to define a safe drop area.
  5. This safe drop area must in no way be entered by any persons other than the Abseilers & Site Supervisor or be compromised from a safety aspect.

iii)     If this area is violated by other people:

(1)    Abseilers working in that drop area are to stop working immediately.

(2)    From where the Abseiler is positions they are to verbally request the person to move from the area.

(3)    If this is not possible, the Abseiler is to abseil to the drop area & verbally request the person to move from the area.

(4)    If the request is not followed, the Abseiler is to contact the Site Supervisor, who will verbally request the person to move from the area.

(5)    If the request is still not followed:

(a)    All Abseilers working in that particular drop area are to cease work immediately and descend from their ropes; and

(b)   The Site Supervisor is to contact the Company who will take charge from there.

  1. Abseilers are not to resume work whilst the safety of the drop area remains compromised.
